If you see it, you’re good to go! If not, double-check your spam or junk folder, just in case it ended up there.

Once you’ve confirmed your reservation email and added anyone involved in planning, it’s time to send us your guest list.

 

We understand that your list may change, and that’s perfectly fine! But having an initial list as soon as possible helps us ensure everything is ready when you arrive.

 

This guest list is essential for two reasons:

  1. Security Wristbands for Resort Access: The ÓLEO Cancun Playa® All-Inclusive Beach Resort is a secure location. If guests aren’t listed at the front gate, they won’t be able to enter from the airport. For this reason, please provide each guest’s first name, last name, and age in years.
  2. Penthouse Assignment for Large Groups: If you’ve booked more than one penthouse, please include which penthouse each guest will be staying in. This detail helps us manage luggage efficiently, so all bags go to the correct penthouse.

And while you’re at it, let us know if you’ll be celebrating any special occasions while you’re in Cancun! Whether it’s a birthday, anniversary, or other milestone, we’re here to help make it unforgettable. If you’d like assistance with surprise decorations, special arrangements, or vacation enhancements, just let us know—we’ll take care of the details before you arrive! And we can keep it secret.

 

When you’re ready with your guest list, REPLY ALL to your reservation confirmation email with your guest list. We’re here to make sure every detail is covered so you can focus on enjoying your time in Cancun!

Step 3: Share Your Flight Details

Now that your guest list is set, we’ll need your flight details to complete your reservation. By keeping track of your group’s flights, we ensure that we’re ready to serve you the moment you land in Cancun.

 

Please reply to all on your reservation confirmation email with each traveler’s airline, flight number, and expected arrival time. This information allows us to monitor your arrival and stay prepared in case of any delays or schedule changes.

 

For those arriving in large groups, if someone other than the reservation holder will be arriving first and accepting the penthouse, we’ll need written authorization from the reservation holder. In rare cases, if the reservation holder needs someone else to sign for the unit at check-in, please notify us in writing via email. The email must include the following statement:

 

“I, [First Name Last Name], authorize [First Name Last Name] to sign for the condominium on my behalf, and I am aware that I am still responsible for all damages to the unit.”

 

This authorization ensures our team can smoothly check in the designated person while keeping your reservation secure.

 

We understand that travel can be unpredictable, and Cancun’s airport can get hectic. Cell phones don’t always connect immediately upon arrival, so by having your flight details on file, our team stays informed and ready, even if you can’t reach us right away.

Step 4: Book Your Airport Shuttle and Optional Grocery Stop

With your flight details and guest list ready, it’s time to set up your airport transfer.

 

You will book this transfer through our provided link (we don’t set it up directly), so please have your flight information and guest list in front of you when you begin.

 

Helpful Tip: If your flight lands early, it’s best to choose the stop at the grocery store option before heading to the resort. This way, our staff can be ready to welcome you and help with both your luggage and groceries upon arrival.

 

Lastly, remember to pack in your carry on bag reusable shopping bags! Cancun has restrictions on single-use plastic, and the grocery store charges for bags. Having mulitple bags ready to go in your carry on will make the shopping experience smoother.

Once your transfer is set up, you’ll be ready to arrive at Tim’s Ocean Condos with everything you need!
